Coronavirus Memo to our Clients

In light of current events, the Quindigo Management team has been closely monitoring the developments regarding the COVID-19 (Coronavirus) pandemic as it unfolds in North Texas.


Any organization that gathers people is especially impacted, and while we don’t want to overreact, we also recognize our responsibility to members and the most vulnerable members of our communities – older adults, health care providers, pregnant women and those with diabetes, heart, lung and immune disorders.


As COVID-19 spreads in Dallas/Fort Worth (home of the 9th and 13th largest cities in the country and one of the busiest airports in the world), we are keenly aware of the need for business and life to continue, yet the need to “flatten the curve” through social distancing over the next 8-10+ weeks.



At this time, we are recommending the following to our local DFW area association clients:


  • Despite increased anxiety, we recommend that all classes and events go on as scheduled for now, with Plan B contingency plans in place (i.e., “rainy day” summer dates for spring events; switching to webinars or conference calls for trainings and meetings)

  • We recommend that each organization’s leadership team continue to monitor the situation and have discussions to decide when to move to Plan B for meetings, educational trainings and events

  • We recommend communicating regularly with members to keep them updated as this unfolds

  • We recommend that hand sanitizer supplies and/or stations be purchased and placed at each event

  • We recommend that all members be encouraged to greet each other with smiles, waves or elbow bu

  • We encourage all leaders and members to stay home and not attend meetings or events when sick

We want to assure our association clients of several things as their Association Management team:


  • We have been and will continue to closely monitor developments related to COVID-19

  • We are working with and having discussions with each event or meeting venue to discuss their sanitation, hygiene and sick policies

  • We are reviewing all venue contracts to ensure that we mitigate risks as much as possible with clauses or addendums that would waive rescheduling or cancellation fees related to COVID-19

  • We are adding clauses to registration pages for future events that states that if the event needs to be rescheduled due to COVID-19, that attendees can either receive a full refund or keep their registration for the new date. Once the date has been announced, if they cannot attend, they will also get a full refund.

  • We have technology tools in place that, should it become necessary, would allow us to hold meetings and educational events remotely/online

  • Quindigo Management is already fully capable of working remotely and continuing with business as usual in running our day-to-day business and serving our clients

  • We will stay home and not attend meetings or events if we are sick

  • We are committed to frequent handwashing

  • We will not be greeting folks with handshakes for the time being
