Updated: Oct 2

QUINDIGO MANAGEMENT
Seasonal Event Coordinator (Contract) — DBIA Southwest Region
Help us deliver a season of design-build events across the Southwest.
The Design-Build Institute of America Southwest Region is looking for a Seasonal Event Coordinator to add capacity during our busiest months. From November through April, you'll support chapter programming across Texas, New Mexico, Arkansas, Louisiana and Oklahoma, help our flagship fundraising events come together behind the scenes, and play a hands-on role in launching our first-ever Awards Ceremony at the 2027 Regional Conference.
This is a contract role built for someone who loves the operational side of events — the timelines, the checklists, the follow-through that turns a plan into a room full of people having a great time.
What you'll do
Support chapter events across the region: confirm logistics with chapter presidents and event chairs, build timelines, track registrations and keep deliverables moving
Handle post-event wrap-up: feedback forms, attendance records, receipts and reimbursements, and data entry in Airtable
Assist with pre-event preparation for our golf tournament and clay shoots — hotel blocks, caterers, supplies and vendor confirmations
Help bring the inaugural Awards Ceremony to life: program flow, award materials, sponsor recognition and nominee communications
Attend the 2027 Regional Conference in full and support registration, signage, sponsor recognition and day-of ceremony logistics
Process conference sponsor and ticket transactions in Airtable and QuickBooks
What you bring
Proven experience in event logistics, coordination and day-of execution
Strong organizational skills and the ability to juggle several events at once against firm deadlines
Confident communication with chapter leaders, volunteers, vendors and committee chairs
A calm, problem-solving approach when something needs troubleshooting on the fly
Comfort working independently while staying in close contact with a small leadership team
Willingness to travel within the region, including multi-day conference attendance
Reliable transportation and a valid driver's license
Experience with association or nonprofit events, fundraising events or volunteer coordination is a plus.
The details
Type: 1099 independent contractor through Quindigo Management
